2. Information we collect
Depending on how you contact us, we may collect your name, email address, telephone number, property address or postcode, customer type, job description, access arrangements, urgency, photographs or video you choose to provide, quotation and job correspondence, and other information needed to deal with your enquiry or carry out agreed work.
We may also receive limited technical information needed to operate and secure the website. Optional SEO/performance technology is only enabled after the relevant cookie preference is accepted.
3. Where information comes from
Most information comes directly from you. A landlord, letting agent, property manager, tenant or other authorised contact may also provide information needed to arrange access or manage a property job.
4. Why we use personal information and our lawful bases
- Enquiries and quotations: to respond, assess requested work and prepare a quotation. We rely on steps taken at your request before entering a contract and, where appropriate, legitimate interests in running our property-maintenance business.
- Delivering agreed work: to arrange access, coordinate trades, communicate progress, complete the job and deal with follow-up matters. We rely on contract and legitimate interests.
- Business, tax and legal records: to keep appropriate records, protect legal rights and comply with legal obligations.
- Website preferences and optional technologies: essential preference storage is used to remember your cookie choice. Optional analytics/performance technology is used only with consent.
- Security and misuse prevention: where necessary for our legitimate interests in protecting the website, systems and users.
We do not use a website enquiry for unrelated marketing unless that use is permitted by law and, where consent is required, you have given it.
5. Who we may share information with
We may share only the information reasonably needed with employees, contractors or trades involved in the requested work; website hosting, email and IT providers; professional advisers such as accountants, insurers or legal advisers; and public authorities where disclosure is required by law.
If you choose to contact Re-Let through WhatsApp, your use of that service is also subject to the provider's own privacy terms. If you consent to optional SEO/performance technology, ClickRank may receive technical connection and usage information under its own privacy policy.

Our normal working retention periods are:

- quotation, contract, invoice and job records: normally up to 6 years after the relationship or job ends where needed for tax, accounting or legal-claims purposes;
- property photographs and access information: only for as long as reasonably needed for the job, evidence, follow-up or a related legal purpose, with sensitive access details removed sooner where practical;
- cookie preferences stored in your browser: until you change them, clear site data, or the consent version is replaced.
We may keep information longer where a legal obligation, dispute, insurance matter or active claim requires it, and may delete it sooner where it is no longer needed.
8. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to access your information, correct it, ask for deletion or restriction, object to certain uses, receive portable data, and withdraw consent where processing is based on consent. Rights are not absolute and exemptions can apply.
